Role Responsibilities

  • Manage and coordinate dialy activities including scheduling internal and external meetings
  • Handle telephone calls including responding to customers requests where appropriate
  • Ensure outbound correspondence are dispatched effectively in a timely manner
  • Respond to routine correspondence as directed by CEO
  • Vet and route incoming mail (both hard and soft) appropriately, handling confidential material as such
  • Maintain an effective and efficient filing system
  • Order and manage department stationery within budget constraints
  • Act as primary liaison with the it service support team
  • Delivering efficient, accurate and timely service to the CEO and other heads as needed. While projecting a professional and warm image in all interpersonnel dealing.
  • To put together and manage the daily schedule of the chief executive officer.
  • Handling general phone and walk-in enquiries in the absence of the CEO
  • Follow-up on activities arising from customers calls to resolve complaints and deal with issues highlighted by the CEO.
  • Helping to plan and co-ordinate meetings and assist with planning and co-ordinating seminars, conferences.
  • Make travel arrangements and prepare expense reports.
  • In the absence of the ceo, reviews the correspondence and send to his back-up to to ensure action is taken.
  • Distribution of correspondence from various channel of communication (mail, phone, e-mail , etc…).
  • Develop and maintain key files and records for the CEO
  • Provide logistic and administrative support to other members of management committee for the accomplishment of specific jobs/objectives.
  • Prepare the monthly report of the exco’s meeting
  • Prepare the CEO’s monthly report on the exco’s meeting
  • Assist in the taking and preparation of exco minutes and follow-up of action items.
  • Aupport and coordinate consolidation of country conduct plan and action items.
  • Support and coordinate consolidation of reports to cluster and region.
  • Any other duties as assigned by the CEO.
